Terms & Conditions

Please read this page carefully. It explains the rules for using the ISRAND Document Management System (DMS) and what we expect from everyone who has an account.

1. What this system is for

The DMS is an official tool for Ibn-e-Sina Research & Development Organisation (ISRAND). It helps register, store, and share organisational documents in a controlled way. By creating an account, you agree to use it only for legitimate work related to ISRAND—not for personal projects, spam, or anything that could harm the organisation or its people.

2. Who may register

Only email addresses that your administrator has pre-approved may register. If your email is not on the approved list, you cannot create an account until an administrator adds you. This keeps access limited to authorised staff and partners.

3. Rules and regulations you must follow

You agree to follow all ISRAND policies, procedures, and instructions that apply to document handling, confidentiality, research ethics, and information security—whether those rules are written in staff handbooks, memos, meetings, or given to you by your supervisor or management.

The DMS does not replace those rules; it supports them. If you are unsure whether something is allowed, ask your supervisor or the person responsible for records before you upload, download, or share material.

4. Confidentiality and sensitive information

Documents in the system may include confidential or sensitive information about ISRAND, projects, partners, or individuals. You must:

  • Only access documents you are permitted to see for your role.
  • Not share login details, passwords, or links with anyone else.
  • Not copy material to personal devices or external services unless your role explicitly allows it.
  • Report suspected misuse or security problems to your administrator promptly.

5. Your account and password

You are responsible for everything done with your account. Choose a strong password, keep it private, and sign out when you finish on a shared computer. Tell your administrator at once if you think someone else may know your password.

6. Acceptable use

You must not use the system to break the law, harass others, upload malware, or tamper with records. Misuse may lead to suspension of access and may be handled under ISRAND disciplinary procedures and applicable law.

7. Changes to these terms

ISRAND may update these Terms & Conditions from time to time. The version number and date at the top of this page will change when we do. Continued use of the system after updates means you accept the new terms; we encourage you to re-read this page when the version changes.
